
CHRIST CHURCH BOOKING TERMS & CONDITIONS
1. Provisional bookings may be made by phone or by email.
2. Bookings are confirmed by email.
3. A margin of one hour is allowed in addition to the booking time to allow for half an hour for prior preparation and half an hour for clearing up. No charge is made for this.
4. Total fees must be received at least two weeks before the date of the booking.
5. Payment can be made via the booking confirmation email or by cheque, payable to ‘Christ Church PCC’ or direct bank transfer to: NatWest account name: PCC Christchurch, account number: 73311103 and sort code: 55-81-26
6. Christ Church reserves the right to cancel or revise the session/hour rate with two weeks’ notice.
7. If a booking is cancelled with notice of 7 days and over, a full refund will be given. Notice of under 7 days no refund will be given.
8. Signing this form is recognition and acceptance by the Hirers of full responsibility for any loss or damage. All incidents must be reported when they occur. Christ Church will seldom charge for minor breakages but may send an invoice for any replacement/repairs needed for significant breakages or damages.
9. In the event that the hiring involves the attendance of children and young persons under the age of 18 or Vulnerable Adults at the premises, the Hirer confirms and undertakes that there will be in place appropriate Child and/or Adult Protection Procedures. The Hirer will ensure that all adults present on the premises are aware of these Procedures and will abide by them. The Hirer confirms that, when necessary under the terms of any Child and/or Adult Protection Procedures, appropriate Criminal Records checks from the Disclosure and Barring Service will be carried out in respect of persons involved with children, young people or vulnerable adults on the premises during the course of any hiring.
10. No alcohol may be sold on the premises. Alcohol, in moderation, may only be consumed with the prior consent of Christ Church.
11. The Church is in a residential area. Hirers using the facilities are required to ensure that inconvenience to our neighbours, and other users of the Church, is minimised. In particular, attention should be paid to car parking and noise levels, especially in the evening. All vehicles are parked at owner's risk. Christ Church PCC is under no liability to insure against loss, theft or damage to vehicles.
12. The person making the room booking is responsible for ensuring that any use of the catering facilities complies strictly with the Health and Safety Regulations. If the event is to be catered, caterers must read the relevant documentation and sign to say that they have done so. Full details will be provided by the church office.
13. We strive to be a nut-free environment. Please do not bring any nut products into the building.
14. Users of the facilities are required to tidy up after their event and ensure that the building is secured when leaving. Instructions will be given to the Hirer as to how the room should be left after an event. After large events, users must dispose of their rubbish, removing any glass bottles off the premises and not leaving them in Christ Church’s bins. If used, the kitchen should be left clean and tidy and all glasses and crockery washed up and put away in their original place.
15. No smoking or vaping is allowed anywhere on the Church’s premises under any circumstances.
16. The Hirer must ensure that all exits, emergency exits and fire appliances are free from obstruction and available for use at all times during the period of use.
17. Any accidents or incidents must be reported to the Operations Director and a written report entered into the Incident Book which is located on top of the pigeon holes in the concourse.
18. Children must not be allowed into the kitchen for health and safety reasons.
19. The Hirers accept that Christ Church cannot be held responsible for loss, damage or injuries to any person, vehicle or possession sustained at Christ Church. It is in the interest of the Hirer to have in force, throughout the period of hire, a policy of insurance with a reputable insurance company.
